Lawful basis for processing the information
General Data Protection Regulation Article 6(1)(e) – processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.
We process your personal information line with the following legislation:
- Freedom of Information Act 2000
- Environmental Information Regulations 2004
- Local Government and Transparency Code 2015
- Data Protection Act 2018
- UK General Data Processing Regulation (GDPR) 2018.
GDPR Article 6(1)(f) – processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party except where such interests are overridden by the interests of fundamental rights and freedoms of the data subject which require protection of personal data, in particular where the data subject is a child.
How do we collect information about you
Personal information is provided by data subjects, their representatives or third parties by completion of our on-line forms, e-mail or post.
What type of information is collected
Personal information collected includes:
- Name
- Address
- Contact details including email address
- Date of birth
- Vehicle registration number
- Insurance policy details
- Proof of identity in order to ensure disclosure of personal information is sent to the correct person.
How we use the information
Personal information provided is processed by the Information Governance Team for the following:
- Land charge searches
- Subject access requests
- Freedom of Information requests
- CCTV enquiries and requests for footage
- Processing data protection and data privacy queries
- Responding to third party requests for information.
Who has access to the information about you
Personal information is processed by the Information Governance Team and employees of RBWM Council.
Who we may share your information with and why
We may share your personal information with; our partner organisations including Optalis and Achieving for Children, the Information Commissioners Office, the police, other local authorities, other government agencies and law enforcement organisations.
How long we store the information we hold on you
Your personal information is stored for five years from the date of capture.
