Lawful basis for processing information

Our lawful basis for processing your personal data as part of the Flag Flying Nomination Form is reliant on General Data Protection Regulation Article 6(1)(f).

Processing is in the necessary interests of the data controller or by a third party, except where such interests are overridden by the interests of fundamental rights and freedoms of the data subject which require protection of personal data, in particular where the data subject is a child.

How we collect information

We will be collecting information via an online form only.

What information is collected

The following personal information is collected as part of the nomination process:

  • Name.
  • Address.
  • Phone number.
  • Email address.

How we use information provided

We collect your personal information so we can review your nomination for a flag to be flown at the Town Hall. 

We use your details to record and assess nominations and to contact you if we need further information. 

The information you provide will be used only for this purpose.

Who has access to the information about you

Details you provide will be shared with the Civic Team, Chief Executive Directorate and Place Directorate.

Who we may share your information with

We do not share your information with third parties unless required by Law.

How long we store your information

Your person details will be retained for up to twelve months from the date of submission. After this, your information will be securely deleted.
