Lawful basis for processing information
Our lawful basis for processing your personal data as part of the Garden in Bloom Awards is reliant on General Data Protection Regulation Article 6(1)(f).
Processing is in the necessary interests of the data controller or by a third party, except where such interests are overridden by the interests of fundamental rights and freedoms of the data subject which require protection of personal data, in particular where the data subject is a child.
How we collect information
Personal data relating to nominations for the Garden in Bloom awards are collected directly by those individuals wishing to nominate themselves, or by third parties such as councillors and members of the public, wishing to nominate a particular garden.
What information is collected
The following personal information is collected as part of the nomination award process:
- Address of the garden
- Photo of the garden
- Your comments about the garden including reasons for the nomination
- Your name and contact details (telephone number and/or email address)
- Confirmation that you own the garden or whether you are making the nomination on behalf of someone else.
How we use the information provided
We use the personal contact details provided in the nomination to communicate with the resident or the nominee about the progress of their application. The event runs between April and June.
Photos of gardens that have been nominated will be placed on our Garden in Bloom webpage. Details of the road and town of winning gardens may be published in the press and on our website.
If you make a nomination on behalf of another person’s garden, your name may be shared with the owner of the garden if they win an award or are named as a runner-up.
Full details of your nomination will be passed to councillors who will decide the winner and runner-up in each ward. If your garden is the winner or runner-up, a councillor may contact you directly to ask for your involvement in press and social media coverage for the presentation of your award.
Details of winners and runners-up will be passed to the council’s communications team to enable us to organise suitable press and media coverage.
Who has access to the information about you
Details of the nominations are shared with the Royal Borough’s councillors, communications team and Mayoral and Civic Team.
Who we may share your information with
Your details may be shared with local newspapers for press and social media coverage if you win an award or are a runner-up. Photos of gardens may be published on the website of Maidenhead & District Chamber of Commerce; a partner organisation contributing to our scheme.
How long we store your information
Your personal details will be retained for twelve months after the conclusion of the awards.
