Lawful basis for processing the information
We are working with a group of residents on a COVID-19 art exhibition project. Residents are asked to voluntarily take part in this project and submit pieces of artwork that will be showcased to the wider community. As part of the submission process, you will be required to provide your name, age and contact details.
The lawful basis for processing is Article 6 GDPR:

How we collect information
Submissions will be taken through our RBWM Together platform or by email. If you submit via our engagement platform, your contribution will be visible to the public as well as your name.
Information we collect
The personal information that will be collected is name, email address/mobile number and piece of artwork. We will also ask for a brief description about your artwork and how it is relevant to our theme.
How we use the information provided
Artwork submissions will be used for our art exhibition which will be held at Maidenhead Library. The personal details you provide will enable us to get in contact with you about the exhibition and anyone else who is interested in your work.
Who has access to the information about you
Your name and contact details will be used by our administrative team to run the exhibition and contact you if necessary. Any artwork posted using RBWM Together platform is available for the public to view.
Who we may share your information with
We will not share your personal details with any third parties outside of the exhibition project group, but your artwork and name will be posted on the RBWM Together website. The project group consists of council staff, residents and officers from other organisations including Housing Solutions, People to Places and Norden Farm who will keep your contact details confidential.
How long we store your information
We will only store your personal data for the duration of the art exhibition which will be two weeks.
