General Data Protection Regulation Article 6(1)(a) processing is based on consent.

How we collect and use the information provided

Information and contact details about community groups and organisations operating in the council area will be supplied directly to the Outbreak Management Group. This information will be used so that community groups can be contacted and sent any communications relevant to Covid-19 outbreaks in the local area so as many residents as possible are prepared to take any relevant action to protect their health. 

Should the need arise that community groups need to be contacted as a result of any local outbreaks of COVID-19, they will be contacted via email or telephone by the Outbreak Management Group.

What information is collected

  • Group name/title,
  • Setting,
  • Contact name,     
  • Email and/or Telephone,    
  • Vulnerabilities of the group,    
  • Permission to contact re COVID-19 information,
  • Permission to contact re Royal Borough council news/communications.

How we use the information provided

The information you provide will be used to determine whether we need to contact you to pass on any Covid19 related advice or guidance which you may need to share with individuals belonging to the local community group you represent. 

Who has access to the information about you

  • Royal Borough Communications team,
  • Other Royal Borough officers if relevant.

Who we may share your information with

  • East Berkshire Health Protection Cell. We may need to pass your details to the East Berkshire Health Protection Cell as part of plans which feed into the organisation’s wider COVID-response plans. 

How long we store your information

Where you have given your consent for us to contact you about COVID related matters, your information will be stored and used by us for the duration of the pandemic.

Where you have given your consent for us to use your information for general council communications, we will store your information for us long as your consent is given for this processing activity. We will delete your details when you notify us that you no longer consent to being contacted about general council matters.
